Weitblick Immobilien AG is renovating the bathroom cores in its Building B and puts the plumbing work out to tender. Haustechnik Sommer imports the bill of quantities (Leistungsverzeichnis, LV), wins the contract, coordinates with the drywall, electrical, tiling and painting contractors – and, once the final invoice is out, knows exactly what the job earned.

The bill of quantities arrives

Ms. Roth sends over the tender documents: a bill of quantities in GAEB format (the German standard file format for tender documents), file LV420_Sanitaer_HausB.X83. Anna used to type documents like this in by hand. Today she opens „Angebote“ (Quotes), clicks „Aus GAEB-LV“ (From GAEB BoQ) and selects the file.

Pricing the bid and submitting it as X84

Lars works through the LV item by item. His wholesaler’s purchase prices are already in NextRB Unternehmer via Datanorm (the German standard format for wholesaler price data); he builds labor and markup into each unit price. He prices the alternative item as well – a rimless toilet instead of the standard model. Finally, Anna exports the bid as an X84 file and uploads it to the e-procurement platform.

The award – including the alternative item

Haustechnik Sommer wins the contract. The award arrives as a GAEB file again, this time an X86 – Weitblick has opted for the rimless toilet. Anna imports the file under „Aufträge“ (Orders) with „Einlesen und Auftrag erzeugen“ (Import and create order). The order confirmation for €18,084 net is ready, and the tender is marked „beauftragt“ (awarded).

Four trades, one schedule

After demolition and rough-in come drywall, electrical, tiling and painting – followed by final fit-out. Lars adds the four companies to the job site and sends each of them its own schedule link. By Friday, all of them have entered their dates. Elektro Ott wanted to start on the same day as the tiler; the link flagged the clash, and he moved his slot forward by a day. Lars got an email for every change – and didn’t have to call anyone.

On site: who’s coming when – and where does the time go?

On their phones, Jonas and Ole see not only their own tasks but also when the drywall crew is coming and when tiling starts – with a phone number they can tap to call. They log their time with „Start“ and „Stopp“ (Stop). When the 18 mm press jaws turn out to be missing, Ole taps „Unterbrechen für Besorgung“ (Pause for supply run) and drives to the workshop. Over four weeks, supply runs add up to twelve hours.

One wholesaler invoice, two job sites

The wholesaler’s invoice arrives: concealed WC frames and toilets for Building B, but also the bundle of copper pipe, part of which goes into stock and into a repair job – plus freight. Anna allocates the line items: two go entirely to Building B, the pipe at 88%, the freight split half and half.

Weeks 2–5 progress and final billing

Progress invoices, change orders, final invoice

After rough-in and again after tiling, Anna sends a progress invoice for €6,000 net. The site manager orders eight fire collars – the contingency item – and six hours of hourly-rate work for a relocated shaft, signed off by the building caretaker on the phone. The final invoice includes both and deducts the progress payments automatically.

What the job actually earned

Weitblick has paid. Lars opens the „Nachkalkulation“ (job costing) for Building B: €18,824 in revenue, €15,422 in costs – labor from 208 logged hours, material from the van, and the allocated share of the wholesaler invoice. A contribution margin of 18.1% – solid for a public tender. One number catches his eye: twelve hours of supply runs. On the next job of this size, the press jaws go into the van before work starts.
